This policy explains how we collect, hold, use and disclose personal information, and how you can access or correct your information or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Account information (from you): name, email address, phone number (optional), business name, ABN (optional), trade type(s), and the council areas you subscribe to.
Billing information: our payment processor, Stripe, collects and holds your payment card details. We never see or store your full card number. We hold billing metadata only: your Stripe customer reference, subscription plan, payment status and invoice history.
Usage information: log data generated when you use the service (pages viewed, leads viewed or exported, email opens), your IP address, browser type, and device information. We do not use advertising trackers on the platform.
Communications: emails and messages you send us, and records of support conversations.
Publicly available register information (special note): our product processes information from public sources — Victorian building permit data published by the Building and Plumbing Commission, and planning application information published on council planning registers as required by the Planning and Environment Act 1987 (Vic). These records are about properties and projects. Where a public register incidentally includes an individual's name (for example, a permit applicant), we may store that information for data-quality purposes, but we do not display, sell, or disclose individuals' names or contact details to our subscribers or any third party.
Directly from you (when you register, subscribe, or contact us); automatically through your use of the service; from our payment processor (payment status); and from publicly available government and council registers as described above.
We collect and use personal information to: provide and personalise the service (matching leads to your councils and trade); process subscriptions and payments; send you the lead digests and service emails you signed up for; respond to support requests; improve the service; keep the service secure and prevent misuse; and meet our legal obligations (including tax and record-keeping).
We send marketing communications only with your consent, and every commercial email we send identifies us and contains a working unsubscribe facility, as required by the Spam Act 2003 (Cth). Unsubscribing from marketing does not stop essential service emails (such as invoices or security notices).
We do not sell personal information. We disclose personal information only to:
Overseas disclosure (APP 8): some of our service providers (including Stripe, Vercel and Resend) may process data on servers located outside Australia, including in the United States. Where this occurs we take reasonable steps to ensure the information is handled consistently with the APPs, including through the providers' contractual data-protection commitments.
Personal information is held in access-controlled cloud systems. Security measures include: encryption in transit (TLS) and at rest; database row-level security so each subscriber can only access their own account and subscribed data; restricted administrative access protected by multi-factor authentication; and separation of any register-sourced name data in an internal store that is not accessible to subscribers or through our public interfaces.
We retain personal information only as long as needed for the purposes above or as required by law (for example, tax records must be kept for at least 5 years). When no longer needed, information is deleted or de-identified.
We are subject to the Notifiable Data Breaches scheme under the Privacy Act. If a data breach occurs that is likely to result in serious harm to any individual, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as required.
We use essential cookies to keep you logged in and remember your settings. You can disable cookies in your browser, but parts of the service may not work without them.
You may request access to, or correction of, the personal information we hold about you at any time by emailing admin@tradiefeed.com. You can update most account details yourself in your account settings. You may also request deletion of your account and associated personal information; we will action deletion requests within 30 days, except where we are legally required to retain specific records (we will tell you if so). We do not charge for access or correction requests and will respond within 30 days.
A note on public register information: information published on government and council registers is controlled by those bodies, not by us. If you believe register information about you is incorrect, the correction must be made with the relevant council or the Building and Plumbing Commission; we can tell you which source a record came from.
If you have a privacy concern or complaint, contact us first at admin@tradiefeed.com — we will acknowledge your complaint within 7 days and aim to resolve it within 30 days. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC): oaic.gov.au | 1300 363 992.
We may update this policy from time to time. The current version will always be available at tradiefeed.com/privacy, and material changes will be notified to account holders by email.
Building permit data is sourced from the Building and Plumbing Commission via DataVic and used under the Creative Commons Attribution 4.0 International licence. Planning application information is sourced from public council planning registers.
